Terms and Conditions for Newmarket Community Awards

1. Introduction

The Newmarket Community Awards (“Awards”) are organized by the Newmarket Charitable Foundation (“Organizer”) to celebrate and recognize outstanding contributions by individuals, groups, and businesses within the Newmarket community. By participating in the Awards, all participants agree to these Terms and Conditions.

2. Eligibility

  • The Awards are open to individuals, groups, and organizations residing or operating in Newmarket or the surrounding area.

  • Nominations must be submitted via the official nomination form on or before the specified deadline.

  • Self-nominations are allowed unless stated otherwise in specific award categories.

  • Employees of the Organizer and their immediate families are not eligible for nomination.

3. Nominations

  • All nominations must be complete and submitted by the published deadline.

  • The Organizer reserves the right to reject incomplete, false, or fraudulent nominations.

  • By submitting a nomination, nominators confirm that all information provided is accurate to the best of their knowledge.

4. Judging Process

  • An independent panel of judges appointed by the Organizer will review nominations.

  • Judges’ decisions are final and not subject to appeal.

  • Shortlisted nominees may be contacted for additional information.

5. Awards Ceremony

  • Winners will be announced at the Awards ceremony. Attendance details will be provided in advance.

  • If winners cannot attend, they will be contacted for alternative arrangements to receive their award.

6. Use of Images and Content

  • By participating, nominees consent to the use of their name, likeness, and award details in promotional materials, press releases, and social media for purposes related to the Awards.

  • Participants may withdraw their consent for promotional use by notifying the Organizer in writing.

7. General Data Protection Regulation (GDPR) Compliance

  • The Organizer is committed to protecting your personal data in accordance with GDPR and applicable privacy laws.

  • Personal data collected during the nomination process will be used solely for the administration of the Awards and related activities.

  • Data may include names, contact details, and any supporting information provided in the nomination form.

  • Your data will not be shared with third parties without your explicit consent, except where required by law or necessary for the administration of the Awards.

  • All personal data will be securely stored and retained only for as long as necessary for the Awards process. After the conclusion of the Awards, data will be deleted within12 months.

  • Participants have the right to:

    • Access the personal data the Organizer holds about them.

    • Request correction or deletion of their data.

    • Withdraw consent for data processing at any time.

8. Liability

  • The Organizer is not responsible for any loss, damage, or inconvenience caused by circumstances beyond its reasonable control, including but not limited to delays or cancellations of the Awards ceremony.

  • Participants agree to indemnify the Organizer against any claims arising from their participation in the Awards.

9. Amendments

  • The Organizer reserves the right to amend these Terms and Conditions at any time. Significant changes will be communicated to participants.

10. Governing Law

  • These Terms and Conditions are governed by and construed in accordance with the laws of [specify jurisdiction].

By participating in the Newmarket Community Awards, all participants confirm that they have read, understood, and agreed to these Terms and Conditions.
